The starting point for all incoming UI forms begins in CCC mailrooms. The Operations Support Department at CCC currently has four regional mailrooms: New Hampshire, Florida, California, and Montana. These are strategically located to ensure the shortest mail transit time between state unemployment agency locations and receipt by CCC. All documents have a deadline, so speed of receipt is critical.

What happens if a client receives UI mail at their physical location?

Besides having documents sent from the state unemployment agencies, Operations Support also receives documents from our clients. This occurs if the state has inadvertently sent unemployment mail to the client’s physical address or if a client is in transition to CCC service and the address of record has not yet been changed.

It can also happen if the claimant provides the state with the wrong employer address when applying for benefits or if they are applying from out of state.
If a client chooses to send documents to us via USPS, FEDEX or UPS, we handle exactly as if they had arrived from the state; opened, sorted and scanned for data entry upon receipt.

However, we can also receive documents from clients via fax or email into our central email address called UIDOCS. This is a central inbox that is staffed throughout every business day to ensure that anything received in that inbox is handled timely. If a client receives a document at their address, they can send it via email or fax, and it will be entered as soon as possible. This is by far the best way to meet deadline and preserve protest rights. It allows the service team the time needed to respond adequately to the state regarding that document.

The quicker we receive the documents, the quicker we get them into our system for processing by the service team.

The Operations Support Department works closely with our POA Department in monitoring address of record problems. We will alert the POA team on behalf of the client if documents are being misdirected. They will then work with their state contacts to correct any issues that may have arisen.
