Time2

When responding to claims, determinations, hearings, or decisions; time is a crucial factor to success and compliance. The time given by State Unemployment Offices for employers to respond to such inquiries varies from state to state and can often seem undesirable. Corporate Cost Control takes all possible steps to maximize the time your company has to respond to these documents; hopefully leading to the best results.

Claims:
Claims, being the first step in the process, often require the most preparation. An employer must gather documents, statements, policies, and in some cases, video evidence to be sent to the state. It is imperative that we, as your vendor, give you as much time as possible to do this; allowing for low stress and thorough collection of evidence. Failure to respond in a timely or complete manner may lead to forfeiture of protest rights by the employer.
For this reason, when a document is received by a CCC Analyst or Coordinator, they have a mandatory MAXIMUM of 48 hours to alert the employer and begin the preparation process. Although this is the maximum, most claims are sent out immediately.
Additionally, CCC offers a Case Builder (“Hamlett”) option that alerts employers as soon as claims are indexed so we as a team can begin working on them. CCC is also SIDES compliant, minimizing claims’ postal travel (We receive claims electronically and instantly).

Hearings:
There are few things worse in the world of Unemployment than receiving a hearing notification a day or even hours before the hearing itself. Some vendors wait after a notice is received to try to find the cheapest possible option for a representative, rather than putting the client’s needs first. A client should not be rushed or unprepared going into a hearing, which is stressful enough already. This is unacceptable, and something CCC will not do.
We identify a representative as soon as possible, so a schedule for preparation that works for the rep and employer can be identified and executed. Ideally, this is done days or weeks before the hearing in case new facts or issues come up.
If a representative is not needed from CCC, our Hearing Coordinator will still reach out to aid witnesses in any way possible. In all applicable cases, we send documents to both parties, ensure participation by providing numbers/locations, and offer free preparation for witnesses. Each of those takes time, and without it, we will be less likely to win the hearing.

A Warning:
If you’re with another vendor and not receiving the claim and hearing documents timely, I urge you to ask them why and consider other options. Although mistakes and state errors happen, if this is routine, there is no good excuse. In this world of technology and quick turnarounds, your vendor should allow you a reasonable amount of time to assist them in these matters. Anything less is unacceptable and unnecessary.
