If you are contacted by any state please do not sign up for any form of electronic or web based claims system. That could flood you with requests that you need to respond to making more work for you and slowing our response time. It can even send claims into limbo where nobody will know about them and we will lose by default.

We are in the process of switching all of our clients to the best possible process on a state-by-state basis. In those few states where it is mandatory to use the state’s web based system (see Massachusetts below) we will give you instruction on how to set us up as the address for those claims so that we can continue to respond with interruption. In states where it is optional we usually prefer the paper system unless they also offer an effective information data exchange.

SIDES (Separation Information Data Exchange System) is the preferred and most comprehensive system for the electronic transfer of claims from the states to employers and agents. It is currently the standard for most states and will encompass all states in the near future. We at CCC have spent over two years working with the states and the official SIDES administrators to develop all of the components to make the best use of SIDES. Pieces are being tested with some sates now and when all of the parts are connected in September we will be able to offer you a much faster and more secure way to respond to requests for termination information. You will still work with the same dedicated service team you have now to get advice and recommendations and these same people will continue to work on your behalf as your representative with the states to put the best case forward.

Although the attached map is not 100% accurate it does show the progress of SIDES and the expectation that eventually this is the system that will prevail as the most efficient way to receive and respond to claims.

SIDES is just the beginning. Our proprietary “C3 Claims System” and “Hamlet” take the data from the state and our clients’ payroll and separation feed to make a transparent, powerful and intelligent system that allows easy uploading of documentation and the ability to view all forms, documents, notes and statements in real-time.

Massachusetts Institute Mandatory Web Based Claim Response
The State of Massachusetts has begun a web based claims response system effective July 1, 2013. All claims will be posted to an inbox on the state’s web site and must be responded to on that site. CCC has an agent site where all of our clients’ claims are directed and your dedicated Claims Analyst will continue to respond to claims as he or she always has. We will utilize the information that you have already provided us or contact you for additional information and documentation as usual.

The Positives:

  1. This system will help us provide more lead time for claim response before the deadline
  2. Gathering more information and documentation up front will result and more favorable decision early.
  3. There should be fewer overpayments of benefits
  4. All documentation and responses will be viewable by you on line.

 

The Negatives:

  1. We must keep CCC as the authorized agent or TPA. If it is changed by anybody in your organization we will stop getting claims.
  2. The system REQUIRES certain responses. Failure to provide complete information within the deadline period could result in a loss of appeal and protest rights. Continued failure to provide complete information can result in penalties.
  3. As of now the system provides only last 4 digits of the Social Security Number making it very difficult or impossible for many of our clients to search for information.

 

Please be sure that CCC is listed as your TPA in your Massachusetts DUA QUEST account for EVERY state account number you have in Massachusetts. If you get an email form the DUA stating that you have claims please forward it to us ASAP.
